Monthly Member Meeting
Meeting Minutes - December 1, 2009
Opening: The regular meeting of the Kings Beach Parent’s Co-op was called to order at 6pm on December 1, 2009, in Incline Village, by Sam Loudon.
Present:
Lorelei van Peborgh, Sam Loudon, Andrew Springsteel, Rebecca Roxburgh, Coralee Walther, Mike Okimoto, Robin & Mike Hart, Kara Coudriet, Laurel Jones, Lisa Sussman, Joshua Root, Lesley Chaman, Dorea Shoemaker, Caroline Kaplan, Kevin Mitchell, Tanya Miller, Rich Drewes, Kimberly Davis, Marna & Ian, Michelle Williams
A. Approval of Agenda
The agenda was unanimously approved as distributed.
B. Approval of Minutes
The minutes of the previous meeting were unanimously approved via e-mail.
C. Open Issues
I. Andrew presented the Fundraiser update:
A. $5,500 was the total income of the Fashion Show, with $600 of expenses. $4,900 was our Net, where we only Needed $3,600. Very Successful.
B. There are additional monies still coming in, with Dress The Part(Y)’s donation as we were her “charity” for the month of October. Also the monies from the increased enrollment in both classes.
C. We are in the Positive, and Thrilled.
D. With this luxury, and a surplus, it gives us a chance to breathe, and begin plans for additional grades for the 2010 - 2011 school year.
E. Looking at locations for next years Fashion Show Fundraiser. We already have a liquor license in NV; if we host the event in CA, we will have to attain one. We are welcoming any suggestions.
F. Coralee presented the Tri-Athelon fundraiser that will take place in the Spring. Children from all schools will be welcome to attend, making it truly, a community event.
1. We will ask local health professionals to have booths set up at the Village Green, as well as a fun fair of sorts following the event.
2. Possible way to work with I-Can Run volunteers, ROTC, and the AmeriCorps.
II. Parent Class Schedule update by Lisa Sussman. We have the January speaker set up. As Rodney Shoemaker will present Child Nutrition. There are only 2 months left to fill.
III. Winter Parking Issues. When the snow comes, both gates will stay Open. When dropping off pleas pull in from the Steelhead gate, and drive through, leaving down the Secline street side.
IV. Raley’s and Escrip cards are IN, Please Use Them! They generate donation $$ from local businesses, given directly to us.
V. School Photos: Thank You Mike Okimoto, these are the Best Pictures Ever! Any additional orders may go through Lorelei, please email her as needed.
VI. Welcome to Mike & Kara, and their son, Mikah, as they just started with our Pre-School, it is Great to have you Here.
VII. Playground Materials and decisions. A committee was formed of Lesley, Lorelei and Dorea, as they will continue the research, and generate a plan of action.
A. We are looking at a cost of $3,600, with 7 tons of material possibly.
B. Our goal is to keep this non-toxic and cost effective.
C. Joshua presented a wonderful opportunity to possibly work with CAT. The Contractors Association of Tahoe-Truckee. As they may offer some donations of materials and time for us. We will need to submit a form, which will include our plan, cost, borders, materials, etc...
D. We are suggesting that there will be 4” of gravel under the High Fall areas, ie: under the slide, with the rest possibly being ‘fake grass’.
VIII. Hub Bros Jewelry is offering 5% Donations to the KBPC (as well as any local non-profits) for the month of December. With any of your purchases, please let them know that you would like to donate 5% to us! Thank You.
The Pre School and the Kindergarten Issues:
I. Pre-School class is getting a Snake! Please feel free to contact Lorelei with any questions or concerns. Also if you would like to help feed it, stay after school. A. Parent Pre-School committees will be set up for things like curriculum, re-arranging the classroom, new ideas, etc…
II. Kindergarten – The Progress Reports are out, and Erin is happy to go over each individually, please make an appointment. A. If anyone would like to take home Darth Vader for the Christmas break, please let Erin know, we would really appreciate it. Thank You.

Opening: The regular meeting of the Kings Beach Parent’s Co-op was called to order at 6pm, on November 3, 2009; in Incline Village, by Sam Loudon.
Present: Lorelei van Peborgh, Rebecca Roxburgh, Sam Loudon, Coralee Walther, Andrew Springsteel, Danielle Zendner, Lisa Sussman, Shelly Fallon, Mike & Robin Hart, Stacey Woo, Rich Drewes, Kimberly Davis, Kelly Root, Jim Kaplan, Lesley Chapman, Rodney shoemaker, Michelle Williams, Juanita Robles, Laurel Jones

C. Open Issues
I. Fashion Show Fundraiser update. All of the marketing is in place. The banners are hung at Raley’s & Village Center. The press release has been submitted to the Bonanza, Tahoe World, Moonshine Ink and Tahoe This Week.
A. We are asking for everyone to Please sell tickets. Everyone’s help is extremely appreciated. Please keep us posted as tickets are needed.
II. Class Pictures are scheduled for this Friday, November 6 at 10 am. Please bring your order envelopes to school this morning. Any additional orders may be made after you receive your initial order.
III. We are considering revamping our logo. Shelly Fallon is a logo expert, and has offered to build some suggestions for us, while still maintaining our image.
IV. Playground materials were researched by Lesley Chapman. Two of her suggestions are Recycled Rubber and Pea Gravel.
A. We are thankful to have the offer of buying local and receiving wholesale prices. We will make our decisions at the December Members Meeting.
B. While both have their positive aspects, and negative, we were reminded an important fact regarding child play: Playing on uneven, natural surfaces actually builds coordination.
V. Parent Class Schedule: We need 5 months of parent classes to be filled.
A. Lisa Sussman and Stacey Woo offered to help to organize these speakers.
B. As they have the list of suggestions ready, they will email the list to everyone, If anyone knows someone in that profession, please notify Lisa or Stacey.
VI. Andrew will give us an up to date budget report in December, after the proceeds from the Fashion Show Fundraiser have been accounted.
The Pre-School & The Elementary School parents split up:
I. Elementary School Issues:
A. Parent Helpers: There are specific times and days that are suggested to help out with certain classes. Mon, Wed, Fri from 9:30–10:15 Math Helper is needed; Mon, Tues, Thurs, Fri from 11:10–11:55 a Reading Helper is needed.
1. Rich is working on a calendar/schedule that we can help to use to organize these days and special class helpers.
B. Boys & Girls Club Wildlife Education field trip opportunity. The 1st Thursday of each month will be available for our students. Sam & Shelly have offered to host these field trips.
C. Weekly Cleaning Schedule: Every Friday, Saturday, or Sunday each parent will take turns with the cleaning schedule. This will include taking out the trash, recycling, mopping and overall dusting. As there are 8 families, our scheduled cleaning day will only occur once every two months.
1. This will also be included on our online calendar-schedule.
II.Pre School Issues
A. Arriving on time- Parent's responsibilities to arrive on time on their work day (at 8:30-8:45 am). It is of the uttermost importance to be there in order to get snack done, children welcomed and signed in, and to be in the rooms for the interaction with the children at 9am promptly!
It is the parent's responsibility and not Teacher Lor's to be ready for the day...she has no responsibility in regards to the Care of the Children and her job responsibility is only as Teacher.....which is part of our license exemption.
Suggestions were made to help: Prepare snack items at pick-up the day before. One parent come early (2nd parent is ready “on the floor”), second cleans later. Empty dishwasher before leaving. When 9am and snack still not done, finish during circle time (last resort).
B. Snack time: The children will be called to wash hands (with a parent) and then sit down at table.....there will be dishes, water and glasses which they can fill and drink while waiting, when all are seated a parent can place the food on the table and assist the children in serving themselves- remember 2 servings to start!
C. Compost issue- We had an incident involving a plastic bag in the compost container and went on to review our composting mission with the instructions of paper bag only and to include a wash out of the container as deemed necessary by the parent dealing with the composting.
1. There will be a shovel out at the compost site as well. A parent will draw up a "reminder" card to put near the compost container as to help those parents that are new to the system or need a cheat sheet to help them know what to do!
D. Lesley mentioned that her husband picked up Ty one day and felt like he could have been anyone and there was no concern or structure in picking up the children... Usually Lorelei checks everyone, but when she is not there, parents are reminded of protocol:
1. If there is no one who personally knows the person who is picking up the child then we must ask for their I.D. and check it against the emergency card for persons authorized to pick up that child. If they are not on the card, the child’s parents must be called.
2. When being the only parent in the backyard position yourself so you can see the gate.
